Coordinators of large events have an enormous task to accomplish. The various preparations that are to be managed and coordinated require mental acuity and physical endurance. There are plenty of things to prepare and do. Monitoring, tracking, and making sure that schedules are met is a daunting job. Formerly, companies had their own special department. Organizational streamlining has resulted in its elimination.
Detailed and astute planning is required for organizing huge events. Planning at the very least can make us see a glimpse of what the result of a given activity will be. It is formulated to establish specific activities that are geared towards an accomplishment of a specific objective. They have to consider all aspects that can influence the whole endeavor. Below are some pointers that may help.
Set up manpower needs. The biggest factor of them all is manpower. Without humans, nothing will get done. Implementation of plans will be none existent. Teams are formed to do certain tasks. A team leader should be designated to lead each group. These teams will report their progress to the organizer through their team leader.
Be conscious of time. Time is always of the essence in any major activity. Time frames must be set for all phases of the undertaking. Specific tasks must have a specific target date of completion. Materials and supplies should be scheduled and monitored for the activities to be seamless. Time may be endless but limits have to be set in order to achieve a goal.
Budget and finance. Materials are not for free and neither are services. People have to be paid, materials need to be purchased. This means sponsors must have money, lots of them. State and corporate sponsored celebrations must have a budget. Financial allocations must be thought of carefully before it is given to the different teams. These should be accounted for at the end of the activity.
Logistics. When things go wrong people often call it a logistical nightmare. To avoid this from happening, concentrated attention must be given to it. This includes the selection and preparation of the venue. The amenities can include the stage, the lights, and the sound system. Food catering must be arranged as well as the seating accommodation.
Prepare for the unexpected. Always have a backup plan for things that can happen unexpectedly. Sometimes people take things for granted and cannot anticipate what would have been a controlled circumstance. But there are just things that people have no control of. Things like inclement weather, power outages, food, and drink shortages are few examples. Contingency planning has interventions in place if ever these will occur.
The job of an event coordinator can be likened to that of an orchestra conductor. They direct and coordinate the various activities of groups and have to make sure that they are performing the assigned tasks. It must be noted the time frame for doing all these is just short. Any miscalculation by the coordinator can have dire consequences that can be disastrous.
